About Microsoft Access

Microsoft Access is a relational database management system for storing information such as contact details, product lists or inventory details, and providing a convenient way to enter, navigate and report on that data. The major benefit to using a database is that fewer errors and inconsistencies occur. Access minimizes the potential for duplication, error, misspelling and typing errors, and reduces the amount of information to be entered.

Examples of how a database might be used are:

  • To provide an easy-to-use system for staff to accurately record contact information.
  • To provide a straightforward method to view and extract information.
  • To quickly and easily provide consistent reporting.

About Microsoft Excel

Microsoft Excel is a powerful spreadsheet program typically used to store, organise and manipulate data. It provides data organisation and analysis tools that enable users to, for example, sort and calculate data, generate charts and Pivot Tables from spreadsheet data, and create and run macros using Visual Basic for Applications.

Some typical examples of how Excel might be used are:

  • To store data records, e.g. a contact list.
  • To sort, filter, search and subtotal a list of data.
  • As an analytical tool using charts, Pivot Tables, Goal Seek, Scenario Manager, etc.
  • To perform basic mathematical operations, such as adding up or averaging columns and rows of figures, as well as more advanced calculations using built-in Functions.

About Microsoft Word

Microsoft Word is the most commonly-used word processing software package.  It is used to create, view, edit, save and print documents such as letters, reports and minutes.

Among its many features, some typical examples of how Microsoft Word might be used are:

  • To create visually interesting documents using the built-in formatting features.
  • To create common types of documents such as header sheets, memos and minutes using templates.
  • To create mail merge documents to send to a number of contacts.
  • To create cross-references and tables of contents by applying Heading styles.

  • To review documents using document tracking, the spell checker, thesaurus and automatic grammar checking.

About Microsoft Outlook

Microsoft Outlook is a personal information manager. Although often used mainly as an e-mail application, Microsoft Outlook also manages calendars, contacts, tasks and to-do lists. It can be used as a stand-alone personal information manager, as an Internet mail client, or in conjunction with the Microsoft Exchange Server for group scheduling, email and task management.

Some of the tasks commonly carried out using Microsoft Outlook are:

  • Creating, sending, forwarding and replying to e-mail messages.
  • Managing email messages using folders.
  • Creating and maintaining contact lists.
  • Scheduling appointments and meetings and sending meeting invitations.
  • Creating and managing “to-do” lists.

About Microsoft PowerPoint

Microsoft PowerPoint is a presentation software program that enables users to create stunning, professional-looking presentations using text, graphics and animation. Slide shows are usually displayed on projection screens for business, training or educational presentations, but can also be distributed as stand-alone files or be printed as handouts for reference. The software incorporates images, sounds, video, text and charts to create interactive presentations.

With Microsoft PowerPoint, users are able to:

  • Create clear, precise bulleted slides.
  • Create multimedia presentations using photos, videos, drawing tools, etc.
  • Add an illustrative graph or an organisational chart of the company structure.
  • Create flow charts and other diagrams to illustrate a point.
  • Print notes pages for the speaker, and handouts and outlines for the audience.

We offer two courses, one aimed at inexperienced users of the software, and a second that covers more advanced techniques to enable users to further develop their skills. In addition, we offer a course entitled Powerful Presentations using Microsoft PowerPoint, designed for inexperienced or novice presenters who wish to build confidence in delivering presentations and focussing on improving presentation style as well as creating PowerPoint slides that deliver more impact.

About Microsoft Project

Microsoft Project is a project management software program, designed to assist project managers in developing plans by entering the tasks of a project, assigning people (resources) to tasks, tracking progress, managing budgets and analysing workloads. The application creates a critical path schedule that is viewed in a Gantt chart. Microsoft Project also allows the user to create reports that communicate the status and progress of a project.

With Microsoft Publisher, users can:

  • Create brochures, business cards, calendars, labels, flyers, newsletters, letterheads, etc., from built-in templates and wizards.
  • Work with photographs, images, clipart and predefined shapes.
  • Check the design for many common errors using the built-in Design Checker.
  • Save or export a publication to a range of formats, e.g. PDF, XPS, JPEG or PNG.
